Start with the contribution you hope to make
Brown Virtual Lab provides three related entry pathways. Choose the form that gives the reviewer the clearest account of your role and proposed contribution. A person may need both an individual profile and a separate professional or laboratory review. Follow the instructions associated with your actual role and sponsoring program.
- Member profile: introduce your background, ten learning goals, collaboration interests, availability, group preferences, and sharing choices.
- Professional collaboration: present expertise, experience, project evidence, proposed contribution, references, and individual permissions.
- Laboratory proposal: describe a group space, its lead, local authority, capacity, working rhythm, and first collaboration priorities.
Choose your account connection before submitting
Member profiles require ChatGPT sign-in. Professional and laboratory intakes also accept submissions while signed out. Signing in before submitting connects those intake receipts to your account and enables private drafts. Retain the reference displayed after submission, especially when submitting while signed out. Receipt association follows the account used for submission; an email address alone establishes a contact detail.
Keep program records in their proper home
Use Brown Virtual Lab for its member profile, professional portraits, collaboration, group placement, and assigned work. Intern and AI mentor records in the separate Welcome Hub retain their own pathway and account context. Return to My onboarding to review the BVL records connected with your signed-in account. Read owner feedback before choosing another form or repeating an application.

Prepare a clear introduction
Sign in with ChatGPT before opening member intake. Gather your professional title, institution or organization, discipline, career stage, location, time zone, and preferred contact information. Describe your participation category and relationship to the Lab as they currently stand. A concise biography and introduction help the owner understand your preparation and the contribution you hope to offer.
- Name the research questions, methods, or subject areas that interest you.
- Describe relevant experience with enough detail to support a placement conversation.
- State realistic availability, language preferences, and any accessibility needs you wish to share.
Make the ten learning statements useful
Use each learning statement for a distinct goal or anticipated benefit. Include specific skills, scholarly practices, or collaboration experiences you hope to develop. Connect several goals with something you could contribute, such as a focused literature review, evidence organization, or a reproducible work product within an assigned scope. Review group preferences alongside your available hours so the complete profile presents a coherent picture.
Review, submit, and maintain your profile
Review every entry and permission choice before applying your typed signature. Save a private draft when additional preparation is useful. After submission, return to My onboarding for the recorded status and owner feedback. Revise the existing profile when requested, preserving continuity with earlier information. Check the latest saved version before editing from another tab or device. Your portrait or photograph follows the profile permissions and review state.

Gather evidence before you begin
Prepare your professional contact details, title, organization, biography, credentials, experience, and public professional links. Choose examples that explain your methods, tools, outcomes, and distinctive expertise. Describe a proposed contribution and its relationship to the research themes that interest you. Use high-level information suitable for an intake record and direct restricted material through the separately approved project pathway.
- Identify a project or experience that demonstrates your preparation.
- Describe an outcome you would like to support and a contribution you could sustain.
- Prepare reference and verifier details, including the requested contact permissions.
Work through the seven steps
Complete the fields for collaboration preferences, available hours, time zone, working cadence, start timing, duration, and communication practices. Explain current capacity and future ambitions clearly. Check optional email addresses, dates, and website links as carefully as required entries. Use the review screen to inspect the complete application and return to individual sections when a correction is needed.
Choose permissions and preserve the receipt
Read biography, goals, reflection, and recording choices individually, including signatures required for particular permissions. Sign in before submission when you want a private draft and a receipt connected with your account. Signed-out submission remains available; keep the resulting reference. Professional review may move through new, reviewing, conversation, aligned, declined, or closed states. Follow the actual feedback and documented next step. Professional intake and member profiles each retain their own purpose and record.

Describe the group and its first shared question
Prepare the laboratory and institution names, department, website, lead contact, location, time zone, proposed space name, and estimated group size. Explain the existing relationship with Brown Virtual Lab where applicable. Identify the disciplines, expertise, resources, and mentorship capacity the group could bring. Select a manageable first collaboration question and describe a useful outcome for the opening period.
- Review project templates and potential partner spaces.
- Describe the expected working rhythm and a realistic start window.
- Include language and accessibility considerations that affect participation.
Name local authority and stewardship pathways
Identify who can authorize participation, supervision, institutional identification, and agreements. Describe the relevant data owner or controller, steward, approved environments, access pathway, and release authority at a high level. Explain the local ethics, privacy, compliance, contracting, and project review pathways relevant to the proposed work. These details help the reviewer understand institutional responsibilities and the coordination questions that need discussion.
Review the proposal and follow its disposition
Read the public identification choice and each acknowledgment before signing. Review all nine sections together. Sign in before submission to enable private drafts and connect the receipt to your account; signed-out proposal submission remains available. Retain the reference and follow the recorded review. Laboratory proposals may be submitted, reviewing, in conversation, approved, declined, or closed. Individual members retain their own profile and permission choices as the group develops.

Establish a saved checkpoint
Sign in with ChatGPT before relying on private draft recovery. Choose Save private draft within member, professional, or laboratory intake and wait for the confirmation message. If you continue editing during a save, review the message and save again to include the newest entries. A draft preserves preparation for later completion; final submission sends the intake for owner review.
- Use the same account when returning from another device.
- Open My onboarding and select the relevant saved intake.
- Read the save result before closing the page or changing devices.
Restore deliberately and review the complete form
Restore saved draft loads the saved entries and permission selections into the form. Review the whole form afterward, including entries you previously cleared and boxes you left unchecked. The restored draft represents its saved checkpoint. If you have newer text on screen, preserve that work before choosing Restore. Pay particular attention to time-sensitive information such as availability and the earliest start date.
Resolve conflicts through the latest record
A conflict message can appear when another tab or device has saved a newer draft or member profile. Keep your current text available, return to the latest saved record, and compare before continuing. After final submission, the matching completed draft is retired; a newer draft from another session may remain. Check the confirmation, reference, and personal progress before repeating an action. If recovery remains difficult, describe the affected intake and visible message through Get help.

Choose each form of sharing deliberately
Review biography, introduction, goals, directory visibility, and recording choices individually. Read the exact form language and applicable policy before signing. Member permissions and submitted revisions remain part of the review history. The owner can restrict visibility to private; expanded sharing depends on a fresh member choice. Keep public-form descriptions at the approved high level and use the authorized secure pathway for restricted material.
Read the status beside its record
Submitted means the member profile has entered review; reviewing identifies the review stage; revision-requested directs you to owner feedback. Approved identifies an approved profile, followed by the particular placement and assignments recorded for you. Pending indicates an outstanding decision or readiness item where that label appears. Professional and laboratory reviews have separate status sequences, including declined when the recorded review reaches that disposition.
- Open feedback before revising the existing profile.
- Check whether the status belongs to your profile, intake receipt, group membership, or assignment.
- Ask for clarification when the next action or scope remains unclear.
Respect restricted and historical states
Inactive or suspended status calls for owner guidance about participation and access. Archived identifies a retained historical record. Declined identifies the decision recorded for the applicable intake or restricted profile. Profile editing preserves these owner-imposed restrictions. Existing authorized assignments can remain available during routine profile revision when membership remains active. Project access, authorship, and release permissions continue to follow their documented decisions.

Choose the curriculum that fits your pathway
Open the professional curriculum or laboratory crew curriculum according to the contribution you are preparing to make. Read the module material, complete its learning activity, and use the knowledge check to identify areas for further review. Return to the relevant explanation when a question reveals a gap. Connect the topic with one of the learning goals recorded in your member profile.
- Professional curriculum supports individual professional collaboration.
- Laboratory crew curriculum supports the shared practices of a participating group.
- Mentoring guidance and the research cycle support discussion and application.
Confirm the saved learning record
Follow the sign-in guidance on the learning page so attempts can be associated with your account. Completion is recorded after the server accepts the attempt. Open My onboarding to review the module title, best score, and passed or continuing-learning state. If an attempt produces a saving error, retain the visible information, follow the recovery guidance, and confirm the recorded result before treating the module as complete.
Connect learning with project readiness
Read the assignment purpose, stages, deliverables, and readiness requirements. Confirm the expected scope, supervisor or reviewer, evidence location, and review point before beginning work. Introductory preparation can use public or synthetic materials within the approved training setting. Live project participation follows the applicable role, training, agreement, access, and project approvals. Provide useful placement information
Keep your research interests, methods experience, contribution preferences, available hours, time zone, and preferred groups current in your member profile. Review collaboration spaces and project templates to identify a realistic match. Describe the contribution you could begin with and the guidance you would need. The owner uses the reviewed profile and documented group context to make a placement and assignment decision.
- Choose interests that connect with your present capacity.
- Read the group purpose and participation guidance before requesting placement.
- Explain how your preferred first contribution supports the shared question.
Read membership separately from profile status
My onboarding displays the group label, role, and membership status. An active membership provides the corresponding authorized group entry. An invited membership identifies an invitation stage; paused, complete, withdrawn, or archived memberships describe other participation states. Each membership remains distinct when a person participates in several spaces. Owner approval of a profile and active placement in a particular group are recorded steps with their own meaning.
Confirm the first assignment and communication rhythm
Open the assigned project pathway and read its scope, dates, expectations, and deliverables. Confirm the local steward or reviewer and the next review point. Individual assignments and authorized assignments to active groups or laboratories appear in your personal work areas. If your profile is approved and placement is still needed, use Get help to provide your interests, available hours, and learning progress. Revisit those details when circumstances change.

Begin with the actual assignment
Open My Work and select the assignment connected with your profile or active group membership. Read its purpose, scope, dates, notes, stages, deliverables, and readiness requirements. For custom pathways, read the materials provided with the assignment. Confirm the first deliverable and reviewer when clarification is needed. Use the seven-day research cycle to organize a manageable question, evidence review, contribution, feedback, and next step.
- Define the specific product the reviewer should receive.
- Record sources and decisions while working.
- Use the approved project location to preserve the document or file and its version.
Prepare a reviewable submission
Choose the correct active assignment in the submission form. Give the deliverable a specific title and summarize the work completed, sources used, quality checks performed, and questions for review. Provide its approved HTTPS evidence link. Confirm that the summary and link contain suitable operational information and that the underlying material remains within its authorized location and access boundary. Review the complete entry before submitting.
Follow the receipt and feedback
After a successful save, check submission history for the receipt, date, assignment, and review state. Read owner feedback and use a new dated version for requested revisions under the same assignment; earlier submissions remain available. If the assignment is paused or complete, ask the owner about reopening before further submission. Preserve the contribution trail so the work, its evidence, and its next decision remain easy to understand.

Identify the step and preserve your entries
Read the visible message and note the page address, intake type, and step where it appeared. Check the highlighted field when validation asks for a correction, including optional links and email addresses. Keep current entries available while resolving the issue. A save or submission is confirmed by the successful response and resulting record or receipt. Review those signals before choosing whether to retry.
- For a loading error, use the page retry or refresh-progress control.
- For a sign-in prompt, return through the provided ChatGPT link with the same account.
- For a revision conflict, compare with the latest saved record before continuing.
Check the appropriate recovery location
Private drafts appear in My onboarding for the account that saved them. Signed-in professional and laboratory submissions connect receipts to the account used at submission. For a signed-out submission, retain the displayed reference and use it when asking for help. Keep profile status, intake receipt status, membership, and assignment status distinct when describing the issue. Each points the reviewer to a different part of the process.
Write a precise support request
Sign in and open Get help within My Work. Support requests can be made before profile approval. Choose the closest topic and describe the step, Site address, actions tried, exact visible message, relevant reference, and help needed. Keep credentials, patient information, and restricted material in their authorized systems. After the request saves, return to the same area for its status and owner response. Response timing follows the actual review process.
